Step-by-Step: Setting Up Your Volunteer Log in HubSpot 

1. The Setup: Customizing the Ticket Object

First, you'll rename and customize the standard Ticket object to act as your “Volunteer Hours” Service Log.

  • Create a Pipeline: Name it "Volunteer Log."

  • Define Custom Properties:
    Track the data points that matter for your reporting  :
    • Event Name: Dropdown (e.g., Empower HK, School Workshop)
    • Hours Worked: Number field
    • Date of record: Date picker
    • Service Type: Dropdown/Multiple checkboxes (eg. Workshop Support, Admin, Mentoring, Event Setup)

 

2. The Data Entry: Automated via a Volunteer Log Form
(Note: Requires Service Hub Professional or Enterprise)

Remove the need for manual data entry. Create a HubSpot Form embedded on a private page of your website or accessed via a QR code at your event location.

  • Automated Creation: Turn on "Automatically create tickets" in the form settings.

  • Create a Contact Property: Name it "Total Volunteer Hours"
  • Field Type: Rollup
  • Rollup Logic: Choose "Sum" of the property Hours Worked from all Associated Tickets. 


The Result:
Every time a new Ticket is created via the form, the Contact’s "Total Volunteer Hours" automatically updates. A volunteer hits submit, and their profile instantly jumps from 10 to 12 hours.

Metric 2: Number of volunteering events participated
  • Create a Contact Property: Name it "Events Attended"
  • Field Type: Rollup
  • Rollup Logic: Choose "Count" of the property Ticket ID from all Associated Tickets. Set Pipeline is equal to Volunteer Log (your volunteer ticket pipeline) as condition.

 

The Result: This property acts as a "loyalty tracker" for your supporters. Instead of manually counting past sign-ups, the system automatically tallies every completed activity. Each time a volunteer submits a new record, their engagement level instantly updates—helping you identify your most active community members at a glance.
